About the role:
We are seeking a friendly, organised and proactive Administration Assistant to join our team and help create a welcoming and professional experience for our clients and families.
This role is ideal for someone who enjoys working with people, thrives in a fast-paced environment, and takes pride in providing exceptional administrative support.
As the first point of contact for our clinic, you will play an important role in ensuring the smooth day-to-day operation of our services. You will be responsible for providing administrative support to our clinical team while delivering outstanding customer service to children, families and stakeholders.
Key responsibilities include:
Greeting and assisting clients and families
Managing incoming phone calls, emails and enquiries
Scheduling and coordinating appointments
Maintaining accurate client records and documentation
Processing invoices, payments and administrative tasks
Supporting clinicians with general administrative requirements
Assisting with day-to-day clinic operations and organisation
Maintaining a welcoming, professional and child-friendly reception environment
About you:
We are looking for someone who is:
Warm, friendly and professional in their communication
Highly organised with strong attention to detail
Able to manage competing priorities and work independently
Proactive and willing to take initiative
Confident using computer systems and learning new software
Committed to providing excellent customer service
Passionate about supporting children, families and healthcare professionals
Essential requirements:
Excellent verbal and written communication skills
Strong organisational and time management skills
Intermediate computer literacy and administration skills
Ability to maintain confidentiality and professionalism
Availability to work Tuesdays and Fridays
Desirable qualifications and experience:
Previous experience in medical, allied health or healthcare administration
Experience in reception or customer service roles
Knowledge of appointment scheduling and practice management software
Experience working with children and families
Current Driver’s Licence
Current Police Check
Working with Children Check
Current CPR & First Aid Certificate (desirable)
Please note: Previous medical or allied health administration experience is preferred but not essential. We welcome applications from candidates with transferable administrative and customer service skills.
