About the role

We are seeking an experienced Operations and Business Manager to join Ballarat Lawyers on a full-time basis in Ballarat, Victoria. This is a strategic position that plays a crucial role in the smooth operation and continued growth of our legal practice. As Operations and Business Manager, you will oversee the administrative, financial, and operational functions of the firm, ensuring efficient day-to-day operations whilst supporting our lawyers and support staff to deliver excellent client service. You will be responsible for implementing systems and processes that enhance productivity, manage resources effectively, and contribute to the overall success of the practice.

What you'll be doing

  • Overseeing and managing all day-to-day administrative and operational functions of the legal practice

  • Managing budgets, financial planning, and cost control across the firm

  • Implementing and maintaining operational systems, policies, and procedures to ensure efficiency and compliance

  • Supervising administrative and support staff, providing guidance, training, and performance management

  • Handling human resources matters, including recruitment, onboarding, payroll coordination, and staff relations

  • Managing office facilities, technology infrastructure, and vendor relationships

  • Preparing management reports and financial statements for review by principals

  • Developing and implementing business improvement initiatives to enhance operational performance

  • Managing client accounts and billing administration systems

  • Ensuring compliance with legal practice regulations and statutory requirements

  • Supporting business development activities and contributing to the growth strategy of the firm

What we're looking for

  • Proven experience in office management or operations management, preferably within a professional services environment such as a law firm, accounting firm, or similar

  • Minimum 3-5 years of experience in operations or people management roles

  • Strong financial acumen with experience in budgeting, financial management, and cost control

  • Demonstrated ability to manage multiple projects and priorities simultaneously in a fast-paced environment

  • Excellent leadership and people management skills with the ability to motivate and develop a team

  • Proficiency with office management software and accounting systems

  • Strong written and verbal communication skills

  • Sound organisational and time management abilities

  • Knowledge of legal practice management systems is advantageous

  • Certification or qualifications in business management, office administration, or a related field is preferred

  • Certificate or Diploma level qualification as minimum education requirement

  • A proactive, solution-focused approach with strong problem-solving capabilities

  • High level of integrity and discretion when handling confidential information

  • Must have existing Australian work authorisation at time of application
